Position Summary

NRDC is seeking a Program Assistant to work with the Climate and Energy team in our Beijing office.  The Program Assistant will be responsible for supporting the team with project administration and contract management, playing an important role in enhancing the effectiveness of project management and ensuring the integrity of financial operations and reporting.

Responsibilities

  • Administer the contract process in NRDC’s grants and contracts management system, coordinating with project managers/officers and the legal department to initiate, maintain, and amend or close the contracts or subgrant agreements in a timely manner
  • Centrally process project payments and ensure proper invoicing and disbursement to partners upon satisfactory completion of deliverables. Archive payment records in accordance with document retention rules for tracking and compliance
  • Serve as the team’s first contact for reimbursement-related questions. Provide guidance to team members in expense submission and approval
  • Provide logistics support for the team’s meetings, including assembling meeting materials, arranging or providing translation services, taking notes and developing summaries
  • Work with team members to monitor and track project progress and ensure on-time delivery of deliverables, and coordinate with and ensure effective communication and collaboration among project partners
  • Undertake additional tasks and responsibilities as assigned by team leaders, and support colleagues as needed

Qualifications

  • Bachelor’s Degree required (preferably in public administration, international development, environment, energy, or a related field)
  • Experience working in the public and/or non-profit sector desired
  • Proficiency in Microsoft Office
  • Excellent oral and written Chinese and English
  • Strong process orientation with sensitivity to quality, timelines, and organizational systems
  • Care for details, accuracy and high-quality output
  • Self-motivated, and able to work in a fast-paced environment and work under pressure managing multiple tasks to meet deadlines
